The hidden cost of rekeying data in UK SMEs: how to assess one workflow before buying AI

Rekeying the same information between documents, spreadsheets and disconnected systems quietly burns hours and creates errors. This short guide shows you how to pick one workflow, measure its true cost, and decide whether AI is worth it.

Every day, someone in your business types a customer's name, an invoice number, or a delivery address into a second system because the first one won't talk to the second. That rekeying feels like a few seconds. Over a week, it adds up to hours. Over a year, it adds up to real money and real mistakes.

For UK SMEs with document-heavy operations, this is rarely a one-off. It happens in sales orders, purchase invoices, client onboarding, and compliance forms. The cost is not just the time. It's the typos that delay a payment, the duplicate record that confuses a customer, and the staff frustration that comes from doing the same thing twice.

Before you buy AI to fix it, you need to know whether the fix is worth it. Here's a simple way to assess one workflow.

Step 1: Pick one workflow Choose a process that repeats often and involves moving information between at least two places. For example, taking details from a signed contract and entering them into your CRM and invoicing system. Don't try to fix everything at once.

Step 2: Measure the time and error rate Time how long it takes to rekey one record. Ask three people to do it and average the times. Then count how many records you process in a week. Multiply to get weekly hours. Next, look at the last 50 records and count how many had a mistake that needed correcting. That's your error rate.

Step 3: Estimate the cost of errors For each error, what did it cost? A late payment fee? A reprint? A customer call? Add that to the labour cost of the rekeying time. Now you have a rough annual figure.

Step 4: Ask the right questions about AI With that figure in hand, you can ask useful questions. Can AI read the source document accurately? How much human checking would still be needed? What would it cost to run and maintain? How long would it take to pay for itself? These are questions you can answer with a small pilot, not a big commitment.

This assessment takes an afternoon. It gives you a clear, evidence-based reason to invest or to wait. And if you do decide to explore AI, you'll know exactly which workflow to start with and what success looks like.
